Your duties will be varied, ranging from administrative support for Country Director and other team members, attending and reporting on external policy and advocacy briefings, supporting the development of content for communication materials, organising internal team meetings, external events and leading a wide range of administrative tasks. Job Title: Administrative and Advocacy Coordinator (full-time position) Location: Dupont Circle, Washington, DC Reporting MSI-US Country Director and Business and Finance Support Officer Probationary Period: 6 months Marie Stopes International (MSI) is a marketing focused, results oriented social enterprise. We develop efficient, effective and sustainable family planning programmes in the UK and overseas. The UK division provides services to men and women over 130,000 times a year. The primary responsibility of this role is to further MSI?s Goal: THE PREVENTION OF UNWANTED BIRTHS and its mission of ensuring the individual?s right CHILDREN BY CHOICE NOT CHANCE It is a role requirement that the job holder must fully comply with, promote and live MSI CORE VALUES: -Mission driven -Customer focused -Results oriented -Pioneering -Sustainable -People centered KEY RESPONSIBILITIES: Administrative Support -Organise travel arrangements and itineraries for MSI-US team members, external consultants and project partners as required. To include: flight bookings, visa arrangement and accommodation *Measure: Travel bookings and schedules are cost effective and run smoothly. -Maintain team administrative systems, including electronic and paper filing systems. *Measure: Files up-to-date and easily utilized by staff -Provide financial support to the Business and Finance Support Officer, including facilitating donor gift deposits and issuing donor receipts, reconciling petty cash, posting vendor invoices, and generating project invoices. *Measure: Financial tasks completed accurately and on time. -Manage and populate contact database *Measure: Consistent updates to database -Generate and manage on-granting agreements *Measure: On-granting agreements executed and uploaded to the grants database quarterly -Manage interface with London IT to ensure efficient technology and communications with MSI Global team *Measure: Ensure staff have functioning and effective technology and maintain a good working knowledge of Open Door -Collect, and communicate, the MSI-US teams weekly movements *Personnel movement and leave schedules are correct and up to date. -Helping prepare word documents, excel spreadsheets and PowerPoint presentations *Have a flexible approach and perform tasks accurately and within given timeframe -Schedule meetings and organize team calendar functions *Consistent updates to electronic office calendar -Act as the administrative focal point for MSI-US within MSI?s global partnership, acting as point of contact for general queries, referring to the appropriate person within the staff as necessary *MSI-US?s communications within the partnership are effective -Provide general office duties, such as ordering supplies and equipment and photocopying and maintaining PO Box *Staff is well equipped and supplied -Provide direct support to Country Director and other team members as needed *Maintaining confidentiality at all times -Any other reasonable duties and/or special projects required *Proactive support --all activities undertaken in a timely and accurate manner. Advocacy -Attend and report on external briefings and participate in internal meetings as requested *Reliable attendance at external and internal meetings -Assist in organizing and coordinating key multi-component events *Appropriate venues are secured, meeting materials distributed prior to event, and accurate minutes taken and shared promptly -Maintain in-house literature inventory and assist in literature distribution *Office is well-stocked with up-to-date literature and information enquiries are answered in a timely manner. -Assist in developing and updating content for website and MSI-US intranet page. *Consistent updates and exciting content on website and intranet page -Coordinate collecting stories and photos from field programs to use for advocacy purposes *Well-maintained and easily accessible in-house files of program stories and pictures -Assist in the coordination of advocacy activities with other US-based partners *Have a flexible approach and perform tasks accurately and within given timeframe -Participate in supporting and coordinating MSI-US?s response to congressional letters and coordination of outreach to educate key legislative staff *Endorsement spreadsheet accurately maintained. -Coordinate key projects such as identification of celebrity advocates and organizing speaking events for MSI field staff *All details organised, with smooth running of business travel for field staff -Assist in communication and coordination of advocacy activities with MSI London and Brussels offices *MSI-US office communications are well-managed -Support and coordinate work on special communications projects, including blog writing, quarterly newsletters and brochures *Excellent MSI-US communications materials produced Skills and Experience -Excellent IT skills, including Advanced Word, Outlook, Excel, PowerPoint and databases -Excellent organisational skills and attention to detail -Excellent English, written and spoken -Results orientated -Ability to handle a steep learning curve -Able to work as part of a team and handle varied work assignments -Highly developed communication skills -Excellent writing skills -Possess a B.A. or B.S. or recently completed an M.A. or an MPH Attitude/Motivation -Enthusiastic, positive, determined -Able to work on one?s own initiative -Able to prioritise tasks -Calm under pressure -Flexible -Sound judgement -Proactive in asking questions, seeking new information and clarifying areas of question or uncertainty -Able to work in a culturally diverse environment -Strong interest in development and reproductive health -Pro choice Contact Information The deadline to apply is January 30, 2012.
