Job Title: Office Administrator/Program Associate
Organization: NARAL Pro-Choice America California
Region: DC Metro Region
Description: The Office Administrator/Program Associate will report directly to the State Director and assist with general office operation and administration. This includes supporting the program and development goals of the California office. An ideal candidate will be extremely well organized, know how to take initiative and present a professional and pleasant first impression in person and on the phone.

Responsibilities:

Administrative
Assists State Director with office operations including staff meetings, scheduling, travel arrangements, human resources
Ensures annual compliance with all state reporting requirements
Processes all incoming bills and codes expenses to send to Finance & Administration Department in DC
Oversees all accounts payable bookkeeping including processing invoices, check request, and petty cash reconciliations
Coordinates annual budget creation and assists State Director with development of administrative budget
Assists with hiring and managing interns
Reports all electoral activities to attorneys to ensure compliance with FPPC regulations
Manages implementation of sub-lease contract

Office Management
Answers all incoming calls, directing calls or messages to the proper individuals on a timely basis.
Greets all visitors and reports their arrival to the appropriate individual or department.
Maintains the appearance of reception, the conference room, kitchen, and storage areas.
Monitors the info email account and arranges responses as appropriate.
Receives and distributes mail; notifies staff about deliveries.
Handles all conference room scheduling.
Maintains inventory of kitchen and office supplies and stationary, making recommendations to appropriate managers and ordering supplies as appropriate.
Coordinates compliance with Green Office goals
Contacts building maintenance with service requests and ensures they are completed in a timely manner.
Handles all service requests for office equipment including copier, postage meter, fax machine, office phones, etc.
Supports the Public Affairs Manager with website management

Gift and Information Management
Oversees processing of PrivacyPAC gifts, coordinates processing with Olson, Hagel and Fishburn and works with Fishburn to ensure gifts comply with state law.
Assists with special events by entering seating information and completing post-event budget reconciliations.
Prepares and submits cash receipts.
Enters all major gifts, events, and grants donations and biographical information in database, including updating existing records and creating new records.
Researches and allocates all daily street mail contributions which lack a response device.

Qualifications:
Excellent typing abilities, including ability to type at least 40 WPM.
Demonstrated ability to communicate effectively and professionally in person, via email, and on the telephone.
Strong time management, organizational, and administrative skills, with ability to coordinate multiple priorities and meet deadlines.
Strong work ethic, including ability to work as part of a team.
College degree required;
Three years relevant work experience;
Blackbaud or fundraising database experience preferred;
Experience in using MS Word and Excel, and database software required;
Strong written and verbal communication skills required;
Knowledge of diverse groups, working with a multicultural workforce and sensitivity to and appreciation of cultural differences is required.
