TITLE: OPERATIONS ASSISTANT
DEPARTMENT: ADMINISTRATION
SUPERVISOR: OPERATIONS MANAGER
LOCATION: SAN FRANCISCO, CA

The Operations Assistant supports our San Francisco staff and ensures smooth-running office operations and a comfortable, well-functioning work environment.

RESPONSIBILITIES:

Office Appearance and Functionality:

Maintain a clean and productive office environment
Manage the reception area, including security and greeting visitors
Respond to general voicemail
Keep supplies area organized with an up to date inventory
Perform regular walk-throughs and pickup of common areas, including kitchen
Respond to staff facilities requests in a prompt and pleasant manner
Perform basic maintenance needs
Assist in facility maintenance including escorting vendors working in the building
Assist operations manager with internal office moves


Meeting Preparation:

Prepare meeting rooms for all staff-requested meetings, including equipment, food and beverage service
Break down meeting rooms following all meetings


New Employee/Intern Duties:

Set up work areas for new employees/interns
Assign phone extensions and voicemail
Orient new SF office staff, interns and fellows to the organization and to SF office procedures and systems
Coordinate orientation for new employees/interns


Mail Room:

Responsible for incoming and outgoing mail and packages; occasional large copying and mailing projects; and weekly domestic intra-office mailings
Apportion costs to various departments for postage and UPS shipments


Office Supplies and Equipment:

Place service calls on office equipment
Keep all printers/copiers supplied with paper
Order and track usage of office supplies


Other:

Book reservations for out of town staff
Prepare invoices for operation manager’s approval
Manage petty cash
Support the operations manager in maintaining remote offices, ensuring that issues are resolved in a timely and satisfactory manner
Other duties as assigned by the operations manager


QUALIFICATIONS:

Education:

High school diploma or equivalent

Skills:

Ability to work with people across many areas of diversity and on all levels of the organization
Strong organizational skills
Solid communication skills
Ability to work well as part of a team and individually
Self starter
Ability to effectively manage projects and time
Sense of humor
Customer service oriented
Commitment to the mission of Greenpeace
Must be able to lift 40 pounds


EXPERIENCE/ACCOMPLISHMENTS:

Experience in a like position
Proven ability to manage multiple tasks in a fast-paced environment
