| Description: | The Frontline Administrator works directly with the Frontline canvass offices and the Frontline Operations Manager to manage the administrative needs of the Frontline field offices. The Frontline program's objective is to increase the financial strength and political impact of Greenpeace. RESPONSIBILITIES: Team members on the Frontline Operations staff are responsible for some or all of the following tasks as assigned by the Frontline Operations Manager: Project and Team Coordination -Manage and coordinate Frontline Team meetings, agendas, and follow-up and take minutes as needed. -Prepare meeting notices, assist in the preparation of meeting packets, and assist in arranging for Senior Canvass leader meetings. -Manage the National Canvass team calendars. -Organizing national trainings for Frontline office managers; -Maintain program communications channels, keeping staff contact lists and list-servs current. -Maintain Frontline internal website -Administrative Responsibilities Event, Training Management -Provide in-person and phone trainings for office directors on administrative and other necessary skills for running a Frontline office -Manage travel, food, schedule, and other logistics for office director trainings, retreats, or other trainings -Assemble binders and manuals for Frontline office directors, Regional Directors, and other trainings Central Operations Management -Manage business processes to ensure that all membership data and income from canvass offices is submitted in a legible format and that the data is securely transmitted and stored on a daily basis. -Monitor and minimize membership forms with faulty financial information on a weekly basis. -Monitor potential fraud issues and resolve issues with national, regional and office directors. -Track staff-by-staff membership loss each month by updating staff tracking codes on a daily basis. -Provide weekly reports on potential fraud, membership form and money reconciliation, percentage of membership forms with faulty membership information, and any complaints or integrity issues with individual recruiters by region. -Submit and track reimbursements, credit card bills, and invoices for the Frontline team. -Submit essential documents from the Grassroots and Canvass teams for archival purposes in accordance with Greenpeace USA's archive policy Financial Management -Monitor all Frontline budgets, ensuring that all major charges are assigned to the correct cost centers and assessing if the program is within budget -Manage reimbursements, invoices, and credit card statements Human Resource Management -Management of time sheets, bonuses and benefits for Frontline staff; -Assist in recruitment of canvass staff and canvass directors by posting advertisements and managing logistics and schedules for canvass director interviews -Submit and track all new hire paperwork to the Human Resources Department, ensuring that paperwork gets from each office into the payroll system on a timely basis -Track staff eligibility for benefits and work with office directors to register eligible staff -Ensure that all new staff paperwork gets from offices into the HR Payroll system in a timely manner Field Office Support -Create weekly reports for Regional Directors, Operations Manager, and National Frontline Manager on rejected forms, membership form reconciliation, administrative problems by office, and cancel issues by staff members. -Enforce Driver Policy, performing driver eligibility checks and ensuring that nobody drives who is not an approved driver -Assist in opening new offices -Secure and keep current solicitation permits all offices -Ensure that offices have proper inventories and ship supplies to all offices -Ship supplies to and order furniture for all new offices -Liaise with Greenpeace facilities department to ensure leases are current and office equipment is functional -Ensure that all major city permits are secured and that copies of all permits attained centrally and in local offices are stored and tracked centrally -Design and propose new administrative processes to better support ground level fundraising. -Design excel budgeting and tracking tools -Liaise with mystery shopping company to ensure that site schedules are posted in a timely manner and that the working relationship works smoothly QUALIFICATIONS: -1-2 years administrative / campaigning / organizing experience -Willing to do what needs to be done, from top-level strategizing to databasing -Effective verbal communicator in a direct and diplomatic manner with superiors and peers -Exemplary writing skills -High level of comfort with quantitative assessments ? no fear of spreadsheets, databases, and regular analysis of organizational performance -Computer proficiency, including working knowledge of Microsoft Word and Excel -Strong organizational skills, including maintaining efficient filing systems -Professional attitude in all dealings, combined with a keen sense of judgment and ability to be discrete with highly confidential information -Ability to handle multiple priorities TO APPLY: Please send cover letter and resume to resumes@wdc.greenpeace.org.
