Job Title: Project Associate

JOB PURPOSE
Provide administrative and customer service support to the Programs through the coordination and execution of designated activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Correspondence:
- Retrieve process and respond to communications from clients and auditors as appropriate.
- Answer telephone calls skillfully and effectively, document, respond and/or relay messages accurately and promptly, identify urgent or priority calls.
- Process outgoing audit packages
- Verify accuracy of audit set-up information
- Generate job assignment agreements
- E-mail, upload, send and/or fax appropriate materials
- Conduct research and follow up on; customer inquiries regarding upcoming audits, billing questions, late payments, problem payments to auditors, etc.
- E-mail, scan and organize client and audit related documentation.
- Forward application requests to appropriate personnel.
- Track and resolve return mail issues.
Administrative:
- Maintain meticulously detailed, accurate and up-to-date auditor and client files, electronically.
- Maintain all administrative lists and files; ensuring accuracy, accessibility and availability.
- Maintain and update database(s) based on program activities and requirements.
- Maintain operations database regarding various data input ensuring accuracy.
- Process and verify the completeness of audit packages from auditors; including any required scanning and uploading.
- Process auditor invoices (ensuring accuracy and completeness).
- Generate, evaluate and take action on updated audit and invoicing status reports, as needed.
- Type, proofread, copy, scan, compile and distribute materials as needed.
- Identify issues and communicate these to the Sr. Associate / Audit Program Associate.
Projects
- Provide support as needed with the administration of Departmental projects.


SKILLS, EXPERIENCE AND EDUCATION
- A minimum of 1-3 years work experience involving a high-volume of customer service activity required.
- Proficient with Microsoft applications especially Word, Excel, Access and SharePoint with an aptitude to learn other computer programs quickly required.
- Strong interpersonal skills required.
- Must have demonstrated ability to research and assimilate information accurately from a variety of sources.
- Capacity to solve simple customer service related problems and communicate solutions effectively desired.
- Ability to effectively manage simultaneous assignments with minimal supervision required - Ability to work in a fast-paced operations environment required.
- Attention to detail, exceptional organization, prioritization and time-management skills required.
- Understanding of business processes and workflow coordination a plus.
- Customer service aptitude required.
- Excellent oral and written communication required.
- Demonstrated analytical skills required.
